What your client sees
The email your client gets, the private upload page, how checks appear to them, and what the page shows once they are done.
Updated 4 min read
Your client never signs up or installs anything. They get one email, open one link, and work through your checklist on a phone or computer.
The email
The invitation comes from "Your Business via Tangentflow" with your logo, name and website at the top. The subject is "Your Business needs 3 documents from you", or "needs a few details from you" when the checklist is only questions. The body lists each item under "What we need", with your hint and an "Optional" tag where it applies. Forms you attached to items are attached to the email too (up to 10 MB in total). Your checklist message appears as "A note from Your Business", and the button reads Upload your documents (or Fill in the form).
A box titled "Why you got this email" says that you asked for these documents, that Tangentflow never asks for passwords, PINs, card details or payment, and to contact you directly if unsure. The footnote gives the date the link stays open until. When email replies are on (Pro, or your first Free request), the email adds "Prefer email? Just reply".
The private link page
If the checklist requires an email code, the first screen is "One quick check first". The client presses Email me a code, enters the 6-digit code (valid for 10 minutes) and presses Continue. Otherwise the page opens directly.
The header shows your logo, name and website with a "Secure upload" pill. The heading reads "Hi Jay," then "Your Business needs 3 things from you by Friday, November 14", followed by the checklist name, your reference, and your message.
Each item is a card with its label, your hint, an "Example:" line if you gave one, and the conditions in plain words, such as "At least 2 files · Dated in the last 3 months · Shows your name". The badge shows Done, Needs attention, Optional, or "1 of 3" for items that need several files. Questions appear as buttons, stars, a date picker or text fields that save when the client leaves the field.
Uploading from a phone
Under each file item, the upload box says what it takes, for example "A PDF or a photo, up to 25 MB". The buttons are Choose file and Take photo (video items add Record here). On a phone, Take photo opens the camera directly.
On a computer, Use your phone's camera instead shows a QR code that opens this exact item on their phone. Items with a form show Download and, for PDFs that can be filled or signed, Fill in online or Sign online. A usage-rights release shows Sign and needs no file.
The checks and the "Needs attention" message
Each upload appears in its item with "Checking quality and type…" and a spinner. A passed file gets a green check and a label such as "Payslip · August 2026". A file with a problem gets a warning icon and the issue in the client's words, and the item badge changes to Needs attention. If you used Ask for changes, the line reads "Change requested:" followed by your note.
The client can remove a file with the trash icon and upload a replacement. When an item is full, the page says "That's the most files this item takes. Remove one to replace it." Files not sent to the AI show "Received" or "Received · AI check off".
The bar at the bottom reads "3 to go", then "All set". Send only works when every required item is done and nothing is still checking. With Submit automatically on, the request submits on its own once every required item has passed, so the client may never press Send.
Questions
When the agent is on and chat is enabled, a "Questions? Ask here" link opens an assistant chat at the bottom of the page. If the client types an answer to one of your questions there, the agent fills it in on the page. If you request more after a submission, a box titled "Your Business asked for a little more" shows your message.
The done state
After submitting, the page shows "Done, thank you." and "Your Business has everything. They'll be in touch if anything else comes up. You can close this page." A line underneath says their files can't be opened from this link anymore. That is accurate: once a request leaves the Collecting state, the link shows status only.
The deletion note
While collecting, the page shows "Deleted once Your Business is done, and by November 21 at the latest." After deletion, the same link shows a "DELETION CERTIFICATE" headed "All gone.", with the date everything was erased and "Verified by Tangentflow". A reset or unknown link shows "This link isn't valid".
FAQ
Can I see this for myself first?
Yes. Go to /demo#try, enter your name and email and press Send it. You receive the same email a client would, for a sample checklist with a bank statement, a receipt photo and one optional question. It is deleted after a day; one sample per address per day.
Does the client see the Tangentflow name?
On Free, the page ends with "Collected securely with Tangentflow"; Pro removes it. The email footer always says "Sent by Tangentflow on behalf of Your Business".
