Getting started
Set up your business in six steps, send your first request, and see what happens when your customer's files arrive.

Setup takes a few minutes. You name your business, build one checklist, choose how the AI runs it, and send a first request. Everything you set here can be changed later from the app.
The six setup steps
After you sign in for the first time you land in the guided setup. The progress bar shows the steps: Business, Logo, What you collect, Checklist, How it runs, First request. A Skip setup link in the top right takes you to the app once your business exists.
- Business. Enter your Business name (at least two characters). Customers see it when they open your links. The Website (optional) field lets Tangentflow look at your site for a logo and suggest what you collect. Pick your Country and press Continue.
- Logo. Press Upload logo and choose a PNG, JPG, WebP or SVG under 1 MB. If you entered a website, the step first looks there for a logo. Press Continue, or Skip for now.
- What you collect. Describe what you need in plain words and press Draft my checklist, pick a template under Or start from a template, or choose Start from scratch. A template matching your website or the page you signed up from carries a Suggested badge.
- Checklist. Give it a Name (shown to customers, for example in the email subject) and an optional Message to the customer, shown at the top of the upload page. Each item has a label, an Optional toggle and a Conditions section. Add more with Document or Form field, up to 30 items. Press Continue.
- How it runs. Switch AI checks every file on or off. The AI autopilot and agent card holds the chasing, tone, follow-up and auto-submit settings. Files delete themselves sets retention: 3, 7, 14, 30 or 60 days, capped at 7 on Free. Press Save checklist.
- First request. Fill in a Reference, Customer name and Customer email. With an email entered, Email the link now is on by default. Press Create request.
The last screen says "You're set up" and shows the private link with Copy, WhatsApp, Email and QR code buttons. From there, Open request or Go to dashboard.
Sending a request from the app
Use the New request button in the sidebar or at the top of the Requests page.
- Choose the Checklist.
- Enter a Reference (an address or job number), the Customer name and Customer email. The email is optional: leave it empty to get a link you share yourself.
- With an email entered, Email the link to the customer is on by default.
- The AI agent for this request section sets a Collect everything by date, the chasing mode, how it writes, private notes for the agent, and whether it answers email replies and chats on the upload page. On Free these are locked after your first request.
- Press Create request. The dialog shows "Request ready" with the link and an Open request button.
What your customer receives
When a request has an email, the invitation goes out right away from "Your Business via Tangentflow", with the subject "Your Business needs 2 documents from you". It lists each item under "What we need", shows your message as "A note from Your Business", and has an Upload your documents button. What your client sees covers the email and the page in detail.
What you see when files arrive
Open a request from the Requests list. Its badge is one of Collecting, Processing, Ready to review, Completed, Expired or Deleted. Each file shows "Checking…" until the AI check finishes, then a label such as "Payslip · August 2026", or a warning with the issue found. Under each file you can Preview, Download, Ask for changes, and untick Keep.
When the customer submits, the Summary card fills in and you get an email according to your notification setting. You can Download all as a ZIP or press Mark complete, after which files are deleted 24 hours later. The menu has Evidence index (CSV), Keep longer or hold, Resend invitation, Reset customer link and Delete now.
The free trial on your first request
A Free business's first request runs with every Pro feature: the AI autopilot, the agent answering by email and chat, and email replies with attachments. Free's limits still apply: files are kept 7 days and you have one request at a time. After that request, the autopilot is part of Pro. If you delete a trial request before the customer uploaded, answered, chatted or submitted, the trial is still available for your next one.
FAQ
Can I send a request to myself to test it?
Yes. Put your own email in on the First request step, or get a sample from /demo#try.
Why can't I create a second request on Free?
Free includes one request at a time. A request counts until it is deleted, which happens 24 hours after you mark it complete or at its retention date. Complete it and wait, use Delete now, or upgrade under Billing.
Where do I change the checklist later?
Under Checklists in the sidebar. Edits apply to requests that already use that checklist as well as new ones.
