Walk-in QR codes
How to create a printed QR code that starts a new request on every scan, what the poster shows, what the customer sees, and the limits that apply.
Updated 4 min read
A walk-in QR code is one printed code for your counter, window or paperwork. Every scan starts a new request from the checklist you chose, so one code serves every customer who walks in. It is different from the QR code on a single request, which opens that one customer's private link.
Create a code
- In the sidebar, open Walk-in QR codes.
- Click New QR code.
- Choose the Checklist the scans should use.
- Add a Label (up to 80 characters), for example "Front desk". It is shown on the poster and on each request the code creates.
- Click Create.
The new code appears as a card with the QR image, the short link it points to and an Active badge. There is no limit on how many codes you create.
Print, download or show it
- Poster opens a printable A5 poster in a new window and starts the print dialog. It shows your business name, the label (or the checklist name), the QR code, the line "Scan with your phone camera to take photos, record a video or upload. No app or account needed." and the footer "Files are deleted automatically after use · Tangentflow".
- SVG downloads the code as a vector file for your own signage or paperwork, at any size.
- Show fills your screen with the code and label on a white background, for a customer to scan from your monitor or tablet. Press Escape or the X to close.
Pause and resume
Use the Accept new scans toggle on the card to pause a code. The badge changes to Paused and scanning it shows "This QR code isn't active. Please ask a member of staff for help." Turn the toggle back on to resume; the printed code keeps working, so there is nothing to reprint. Codes cannot be deleted, only paused.
What the customer sees
- They scan the code with their phone camera. A page opens with the heading "
would like a few things from you.", the checklist name and your checklist's Instructions for the customer, if you wrote any. Below that: "No account needed. Your files are checked as you add them, and deleted once is done." - When bot protection is switched on for the site, a short Cloudflare check runs on the page and the Start button stays disabled until it passes, usually a moment with nothing to click.
- They tap Start. A new request is created and the upload page opens on the first unfinished item, with the camera ready when that item is a photo or video. For a video item the recorder opens straight away.
- They work through the checklist like any other customer: uploads are checked as they arrive, questions are answered on the page, and they submit when done. See /help/what-your-client-sees.
Each scan creates its own request, so two customers scanning the same poster never see each other's files.
What you see
The new request appears in Requests with the code's label as its name and the checklist you chose. It has no customer name or email address, because the customer never typed one. That has a few consequences:
- There is no invitation, reminder or follow-up email, since there is no address to send to.
- The checklist's Require an email code setting does not apply. The editor says so: "QR codes and shared links stay open."
- Ask for changes on a file works while the request is open; your note is shown on the customer's page rather than emailed.
If you want the customer's name or contact details, add question items for them to the checklist (an Email address field and a Short text field, for example).
Limits
- Plan limits apply to each scan. Free includes one open request at a time. If that slot is taken when someone scans, they see "This QR code can't accept new requests right now." and no request is created. On Pro the ceiling is 1,000 active requests.
- Retention follows the checklist's Delete after (max), capped by your plan: 7 days on Free, 60 on Pro.
- Files per request: 150 at most, with the usual 25 MB per file and 500 MB per video.
- A code stops working when its checklist is archived or the account is suspended, with the same "isn't active" message as a paused code.
FAQ
Can I point an existing code at a different checklist?
No. A code is tied to the checklist it was created with. Pause the old code and create a new one for the other checklist.
Will a Free account's single open request be used up by a scan?
Yes. A scan creates a normal request and counts toward the one-at-a-time limit until that request is deleted. Use Delete now in the request's menu to free the slot straight away; marking it complete schedules deletion for 24 hours later. Or upgrade to Pro.
Where is the QR code for one specific customer?
Open their request and choose QR code. That code opens their private link only, for a customer standing in front of you, and is unrelated to walk-in codes.
