Forms and signatures

How to attach your own form to a checklist item, how customers fill in and sign PDFs online, what happens with Word and Excel forms, and what you get back.

Updated 4 min read

Any document item can carry a file of yours: a form the customer completes and returns, or an example of a good upload. PDF forms can be filled in and signed on the customer's page. Word and Excel forms are downloaded, completed and uploaded back.

Attach a form to an item

  1. Open Checklists, open the checklist and find the item.
  2. Under Attach a file, choose Form to fill in.
  3. Click Upload the form and pick the file. PDF, Word (.docx, .doc), OpenDocument (.odt), Excel (.xlsx) and images are accepted, up to 25 MB.
  4. Click Save changes.

For a PDF, the editor counts the fillable fields and shows either "12 fields to fill in online" or "a flat PDF: customers print or sign it online". If the form needs a signature, also turn on the Signed condition under It must; that is what makes the page offer signing and makes the check look for a signature.

What the customer sees

The form appears in a box under the item with a Download button. A PDF with fillable fields also offers Fill in online; a flat PDF on an item with the Signed condition offers Sign online.

Filling in a PDF online

Fill in online opens a dialog titled "Fill in

". Each fillable field becomes a simple input: text boxes, check boxes, and dropdowns, lists and radio groups as a pick list. Labels come from the form's own tooltips, or from the field names when there are none.

Signing

A signature box appears when the PDF has a signature field or the item has the Signed condition. The customer draws with a finger, pen or mouse, types their full name, and clicks Sign and add. The signature image is placed in each signature box on the form, or at the foot of the last page when the form has none, with "Signed electronically by on " in small type under it.

The finished PDF is flattened, named " (completed).pdf" and added to the item like any other upload. If a form cannot be filled in the browser, the dialog says so and the customer downloads it instead.

Forms in the emails

The invitation, reminders and follow-ups attach your forms, marked against their item: "Form attached: Application.pdf · fill it in and send it back". Forms are attached while they total 10 MB or less per email; beyond that the line says to download it from the upload page. On Pro, a customer can reply to the email with the completed form.

Word and Excel forms

A Word or Excel form cannot be filled in on the page. The customer downloads it, completes it and uploads it back; the item accepts the completed Word or Excel file as well as a PDF or photo of it. Returned Word and Excel files are not sent to the AI. They are labeled "Form received", count toward the item, and are left for you to open.

Checking a returned PDF

A returned PDF goes through the normal document check (see /help/document-checks) with one extra condition: it must be your form, filled in rather than blank, and signed when the item has the Signed condition. The "Signed electronically by" stamp with a signature image counts as signed.

Usage-rights releases

For testimonials and creator content there is a built-in release instead of a form. Turn on Usage-rights release on a document item, list Where it can be used (comma-separated, up to 10, each a check box) and write the Terms (up to 3,000 characters). The customer reads the terms, ticks at least one use, types their full name, signs, confirms they agree, and clicks Sign. A PDF is generated on their device and labeled "Release signed". It is not sent to the AI.

Examples and guides

Choose Example or guide instead of Form to fill in to show what a good upload looks like, such as a photo of an electrical panel taken the right way. Images and videos play inline under the item with the label "Example". Guides take the same file types as forms, plus videos up to 90 MB, and are shown on the page only, not attached to emails.

What you get back

The completed form sits under its item on the request page. Download it there, or get it in the ZIP and in any delivery with the rest of the request.

FAQ

My PDF has no fillable fields. Can it still be signed online?

Yes, if the item has the Signed condition. The signature and stamp go at the foot of the last page.

Can one item carry two forms?

No. Each item takes one attached file. Add a second item for a second form.
