How to Collect W-9 Forms From Vendors and Contractors (2026)
How to collect W-9 forms from vendors before the first payment, check them and stay ready for 1099s. 2026 thresholds, email templates and a Canada note.

The short answer
Ask every new US vendor or contractor for a completed, signed Form W-9 (the current revision is March 2024) before the first payment, and collect it through a private upload link instead of email, because the form carries a Social Security number or EIN. Check that the name matches the TIN, the classification is right and the form is signed, then file it where your 1099 work happens. For payments made in 2026, the 1099-NEC and most 1099-MISC thresholds are $2,000, up from $600, but you still want the W-9 on file up front.
Every January, the same scramble plays out in bookkeeping offices. The 1099 deadline is a few weeks away, and a handful of vendors still have no W-9 on file. The handyman who did three jobs in March. The freelance designer who invoiced twice. The cleaning company that changed its name midyear. Now you are emailing people you paid months ago, asking for a Social Security number, and hoping they answer before January 31.
This guide is for anyone who pays contractors and vendors and has to report it: bookkeepers, small business owners, property managers, general contractors with subs, and accountants preparing 1099s for clients. What a W-9 is and when you need one
Form W-9, Request for Taxpayer Identification Number and Certification, is the IRS form a US person or business fills out to give you their correct name, federal tax classification and taxpayer identification number (TIN). You use it to file information returns such as Form 1099-NEC or 1099-MISC, and to know whether backup withholding applies.
- You keep the W-9. You do not send it to the IRS. The form says to give it to the requester.
- The vendor fills it out and signs it, under penalties of perjury.
- The current revision is March 2024 ("Rev. March 2024" in the top left corner), which replaced the October 2018 version. The IRS has published draft updates in 2026, mainly for digital asset brokers, but drafts are not for use. Check the About Form W-9 page before you update your template.
- Foreign vendors don't use a W-9. A nonresident individual generally gives you a Form W-8BEN, and a foreign entity a W-8BEN-E.
Who to ask: every US vendor you pay for services in your business, including independent contractors, sole proprietors, partnerships and LLCs. Ask corporations too: their payments are generally not reportable on a 1099-NEC, but the W-9 documents that the vendor is a corporation. Payments to attorneys for legal services and medical or health care payments are generally reportable even when the payee is incorporated. Property managers should add the owners they pay rent to, since those rents can be reportable on Form 1099-MISC.
You generally don't report payments for merchandise, wages to employees (those go on a W-2), or payments made by credit card or payment app, which the processor reports on Form 1099-K.
1099 thresholds for 2025 and 2026
The One Big Beautiful Bill Act (Public Law 119-21) raised the long-standing $600 threshold for Form 1099-NEC and most Form 1099-MISC payments to $2,000 for payments made after December 31, 2025, with inflation adjustments after 2026. The IRS reflects this in the current Instructions for Forms 1099-MISC and 1099-NEC.

Some categories, such as gross proceeds paid to attorneys, follow their own rules. Form 1099-NEC is due to the recipient and the IRS by January 31, or the next business day when that falls on a weekend.
Why email is a bad channel for W-9s
A completed W-9 holds what an identity thief wants: a legal name, often a home address, and an SSN or EIN on one signed page. Yet most requests still say "please email me a W-9."
- Copies multiply across the vendor's sent folder, your inbox, anyone you forward it to and every synced phone.
- Files stay forever. A W-9 emailed in 2022 is probably still sitting in a thread.
- It looks like phishing. "Please send your W-9" is a classic scam email, so careful vendors hesitate, and careless ones answer anyone.
- One breached inbox exposes every TIN in it, which hits bookkeepers handling many clients' vendors hardest.
- Nothing shows what's missing across 40 vendors unless you build a spreadsheet by hand.

When to request a W-9
Before the first payment. That one rule prevents most of the January scramble, because once you've paid someone, your leverage drops to nearly zero. Build the request into moments you already have:
- When you approve a new vendor, before the first invoice is entered.
- When a contractor accepts a job, alongside the agreement and insurance certificate.
- When a vendor changes its name, entity type, TIN or address.
- When the IRS tells you a name and TIN don't match.
- Once a year in the fall, for anyone with a missing, unsigned or outdated form.
What to check on every W-9
Review each W-9 as it arrives, while the vendor is still easy to reach.

Name and TIN must match. The IRS matches the name on line 1 with the TIN in Part I. For a sole proprietor or a single-member LLC that is a disregarded entity, the W-9 says to put the owner's name on line 1 and the business or LLC name on line 2, with the owner's SSN (or the owner's EIN, if they have one). If line 1 says "Bright Clean LLC" and the number is the owner's SSN, a mismatch is waiting to happen.
TIN format. An SSN is nine digits in a 3-2-4 pattern, an EIN nine digits in a 2-7 pattern, and an ITIN uses the SSN pattern starting with a 9.
Signature. Strictly, the W-9 instructions say vendors receiving "other payments," which include payments to a nonemployee for services and rents, must give a correct TIN but don't have to sign unless they were previously notified of an incorrect TIN. Most businesses ask for a signed, dated form anyway, because the signed certification is their best record. Set your policy with your CPA and apply it consistently.
Electronic signatures. The IRS allows electronic W-9s, but the Instructions for the Requester of Form W-9 set requirements for the system, such as authenticating the signer and keeping a record. If you rely on e-signed W-9s, confirm your method with your CPA, or ask vendors to upload a signed PDF of the official form.
TIN matching and backup withholding basics
TIN Matching. If you file information returns subject to backup withholding, such as 1099-NEC and 1099-MISC, you can check name and TIN combinations through the IRS TIN Matching program in IRS e-Services before you file. The IRS says payers who validate first should receive fewer backup withholding (CP2100) notices and penalty notices.
Backup withholding means withholding 24% from a reportable payment and sending it to the IRS. It generally applies when the vendor doesn't give you a TIN, or when the IRS notifies you that the name and TIN are incorrect (a "B notice," usually following a CP2100 or CP2100A notice). If a CP2100 arrives, follow the steps in IRS Publication 1281 on time and involve your CPA.

Pace reminders to the first payment. For a first invoice due in about ten days:

Each reminder should name only what's missing; see our client reminder schedule. If a vendor emails the W-9 anyway, save it where it belongs, delete the email from your inbox, sent folder and trash, and reply with the link for next time.
The year-end rush, and how to avoid it
If W-9s weren't collected before every first payment, run this routine in the fall:
- In October, list every vendor paid this year with totals to date.
- Compare it with W-9s on file. Flag missing, unsigned, outdated or renamed vendors.
- Send requests in one batch, each vendor with their own link and a mid-November due date.
- Run TIN Matching on what comes back, if you're enrolled.
- Fix mismatches in December, while vendors still answer email.

How to collect W-9 forms in Tangentflow, step by step

1. Start from the Subcontractor paperwork template
Go to Checklists and choose "Browse templates." The Subcontractor paperwork template already has a certificate of insurance, workers' comp, a tax form item for the W-9, an optional trade license, an optional signed agreement and a contact question. Remove what you don't need.

2. Describe what a good W-9 looks like
Open the tax form item. In "What should it be?" write something like "Form W-9, Rev. March 2024, completed, signed and dated," turn on signed, and add a tip: "Single-member LLC? Your name on line 1, the LLC name on line 2."
You can also attach the official fillable W-9 PDF to the item, and the vendor fills it in and signs on their phone with a drawn signature. See forms and e-signatures. If your policy follows the IRS electronic-system requirements above, check with your CPA first, or ask for a signed PDF upload instead.

3. Lock the link and decide what the AI sees
- "Require an email code." Turn it on for the checklist. Before the link opens, the vendor enters a 6-digit code emailed to them, so a forwarded link isn't enough on its own.
- The AI check. With it on, each upload is checked in seconds, and full ID, account and tax numbers are never kept in summaries, only the last four characters. If you'd rather W-9s never go to the AI provider, switch the AI check off for that item. Files are then stored and marked "Received" for a person to review.
4. Create the request
Go to Requests and click "New request." Choose the checklist, add a reference such as "Bright Clean LLC, new vendor," the vendor's name and email, and a needed-by date a few days before the first payment. Leave "Email the link" on for the agent to send the invitation from your business name.

5. The vendor uploads, and problems are flagged on the spot
The vendor opens the link on a phone, enters the code, and sees what's needed and what's missing. No account, no app. Document checks compare each upload with your description: the right document, readable, signed, every page, and not expired for the COI. An unsigned form gets a friendly note, and the vendor can fix it before leaving.

6. Review, deliver and let the copy disappear
The request page shows every file with its check result, what's missing and an activity timeline. Use "Ask for changes" if a W-9 needs redoing. Download the ZIP package, or on Pro deliver to Google Drive or a webhook, and file the W-9 in your accounting system. Mark the request complete and the files are deleted 24 hours later. After the vendor sends everything, their link no longer shows the files.

The agent paces reminders to the needed-by date (at most one automatic email a day, each listing only what's missing), answers questions from your checklist and private notes, and hands off to you on anything outside the checklist. A note for Canadian businesses
Canada has no W-9 equivalent. Collect the details yourself during onboarding:
- Legal name and business or trading name.
- Business number (BN), if the vendor has one.
- GST/HST registration number, if they charge GST/HST. To claim input tax credits, CRA requires the supplier's registration number on invoices of $100 or more, and you can confirm a number with CRA's online GST/HST Registry. Quebec vendors may also charge QST under a separate number.
- Social Insurance Number (SIN), only from sole proprietors when you'll need to issue a T4A. CRA accepts a valid program account number, such as a GST/HST account number, as an alternative for sole proprietors.
When T4As come in: under CRA's administrative policy, if you pay fees for services to a non-employee totaling more than $500 in a calendar year (or you withheld tax), you report it in box 048, Fees for services, on a T4A slip, due by the last day of February of the following year. In trucking, CRA penalties for unreported fees for services apply from the 2025 tax year. If a recipient won't give you their SIN, CRA expects you to show you made a reasonable effort to get it. The whole process as a checklist
- Require a W-9 before the first payment to any US vendor, and from owners you pay rent to.
- Collect a W-8BEN or W-8BEN-E from foreign vendors instead.
- Use the current form (Rev. March 2024) and check IRS.gov before updating your template.
- Send one private link per vendor, never "email me your W-9."
- Set a needed-by date before the first payment and pace reminders to it.
- Check name, TIN format, classification, revision and signature on arrival.
- File the W-9 in your accounting system and delete every other copy.
- In October, batch-request anything missing and run TIN Matching if enrolled.
- In Canada, collect the BN, GST/HST number and, where needed, a SIN for T4As.
Frequently asked questions
When should I ask a vendor for a W-9?
Before the first payment, ideally when you approve the vendor. Once you've paid someone, paperwork gets much harder to collect. Request a new W-9 whenever a vendor changes its name, entity type or TIN.
What is the 1099-NEC threshold for 2026?
For payments made in 2026, Form 1099-NEC is generally required when you pay a non-employee $2,000 or more for services during the year. That's up from $600 for payments made in 2025, and the amount will be adjusted for inflation after 2026. Check the current IRS instructions before you file.
Is it safe to send a W-9 by email?
It's not a good idea. A W-9 contains an SSN or EIN, and email attachments multiply across inboxes and devices and often stay forever. A private upload link that encrypts files and deletes them when you're done is a safer way to receive one.
What happens if a vendor won't give me a W-9?
If a vendor doesn't provide a TIN, you generally must apply backup withholding of 24% on reportable payments. Explaining that you can't release payment without the form usually works; talk to your CPA if a vendor still refuses.
Do Canadian vendors fill out a W-9?
No. Canada has no W-9 equivalent. Collect the vendor's legal name, business number, GST/HST number if they charge it, and a SIN only from sole proprietors when you need to issue a T4A for fees for services over $500 in a year.
